A Gleap custom agent can read QuickBooks Online customers, invoices, payments and reports through Composio and create records such as credit memos when you allow it. It helps SaaS and service businesses whose customers ask support about invoices and payments.
What a Gleap agent can do in QuickBooks
- Find the invoice: List Invoices and Read Invoice return the customer’s invoices with amounts, dates and status.
- Find the payments: Query QuickBooks Entities looks up the payments recorded against the customer’s invoices.
- Check the balance: Customer Balance Report shows what the customer still owes.
- Record a credit: Create Credit Memo records a credit for an overcharge after the finance lead approves the amount.
Example: “Why was I charged twice?”
A customer writes in Gleap that they see two charges for September. The teammate asks the agent to check. The agent finds the customer in QuickBooks, lists their invoices and payments and sees one invoice paid twice. It asks finance with an Ask for a decision card whether to issue a credit memo, and finance decides.
How to connect QuickBooks
- In Gleap, open AI & Automation > Agents and select a custom agent, or create one.
- In its Tools section, click Add tool and search for “QuickBooks”.
- Pick QuickBooks under More integrations and click Connect QuickBooks.
- Sign in to QuickBooks in the popup, choose the company and approve access.
- Open the new QuickBooks tool and switch off every action the agent does not need, such as Create Refund Receipt or Send Credit Memo.
- Tell the agent in its instructions when to use QuickBooks, then test it in chat.
Custom agents are included in the Team, Pro and Enterprise plans. Kai Support can use connected apps as tools on Team, Pro and Enterprise. Kai Code, also on those plans, can use QuickBooks in coding sessions once you add it under Settings > MCP in Kai Code.
FAQ
Does Gleap integrate with QuickBooks?
Yes, through Composio. A Gleap custom agent can query customers, invoices, payments, estimates and reports and create or update accounting records if you allow it. QuickBooks changes only when an agent run calls these actions.
What can a Gleap AI agent do in QuickBooks?
It answers billing questions from support with the customer’s actual invoices, payments and balance, and it prepares corrections for finance to approve. Money movements stay with your finance team.
Which Gleap plan includes the QuickBooks integration?
Kai Support and Kai Code can use the QuickBooks toolkit on Team, Pro and Enterprise; custom agents that use it are on Team, Pro and Enterprise. Kai Support answers customers, so switch on only actions that are safe in a customer conversation. Use a QuickBooks user whose role fits what the agent should see. AI usage is billed separately; see pricing.
Where are the QuickBooks credentials stored?
Composio holds the connection and its tokens. Gleap stores only a reference to the connected account, and you can reset the credentials or remove the tool at any time.
